First week of an email desk

After install, run one inbox for five mornings: a priority, drafts from Jess, a ping from Dewey, and you still press send.

This is the week after the inbox exists. The install order for the whole roster is the one-person desk first run. The job for these five mornings is the email assistant task.

If the mail is from your customers, stop and use the customer support task. If you do not yet have one written priority, do the weekly priorities task before you ask an inbox bot to rank your life.

Before Monday

Connect Gmail only. Skip Calendar until a draft mentions a meeting you already have. Skip Notion and Slack.

Read How to share, install, and vet a Grok Bot template if this is the first share link you will open.

Pick one path:

Name one bot as the inbox sentry. Every other bot stays on headers until that one marks a message clean.

Monday and Tuesday: read what it drafted

Open the 8 am draft. Send the replies you mean. Delete the rest. Do not ask for a second recap because the first one felt thin. Correct the instruction instead: who matters, and what "urgent" means.

If the bot asks a question when it should have made a recommendation, use the Gmail and calendar sweep: ping with a concrete recommendation, and you approve anything that sends, books, or deletes.

Wednesday: one urgent rule

Tell Dewey what a ping is. A named sender, a deadline today, or a word you choose. A ping is not a second copy of Jess's recap.

If nothing matches, the quiet inbox routine is the pattern, even when the mail is not a customer: say nothing.

Thursday and Friday: leave send off

Count the drafts you sent yourself. That number is the week. The bot's send switch stays off.

You are done when:

  • Five mornings produced a draft you opened.
  • Dewey's urgent rule is one sentence you could repeat.
  • No bot has sent mail.

Open the email assistant task and install Jess, then Dewey, if the single helper is already too small. Do not turn on send.
