How to install the one-person desk today
Install Spark, Kody, Jess, Dewey, Invoice Hunter, and Fixer in that order. Paste the first message for Kody, run the 10-minute checklist, and keep the approval fence.
A company of one still needs a desk: six named roles, a numbered install order, and a fence that never sends mail or pays without you. The live One-person desk is that roster. This page is the first-run: open each card, paste Kody's first message, and stop when the split exists.
The live page is the source of truth. These steps match it.
Who it is for
One person running a company from Gmail, a calendar, and a notes doc. You want a desk, not another unread bot chat.
Skip this desk if you already have a coordinator and this month you only need content, a job hunt, bills-only money ops, GTM, or a shipping repo. Finish one roster. Do not mix desks on day one.
Setup is about 20 minutes, including Spark's five-minute questionnaire. Day-one done: Spark notes exist, Kody holds one weekly priority, Jess and Dewey are watching. No mail sent. Nothing paid.
Install in this order
Each card below is the same live template the blueprint opens. Add the copy on x.ai. Then come back for the next number.
- Spark — five minutes of questions so the rest of the desk is not guessing who you are. It receives your questionnaire answers. It hands Kody a short profile to treat as source of truth.
- Kody — chief of staff. Turns one priority into work for the others. Does not do their jobs. It receives Spark's notes and the one priority you type this week. It hands off a named owner and a next action, then checks they have it.
- Jess — the weekday recap across email, calendar, Notion, and Slack. Drafts, never sends. It receives connected inboxes and Kody's focus for the day. It hands you a recap and draft replies to send or kill.
- Dewey — pings when a message looks time-sensitive. Not a second recap. It receives Gmail plus what "urgent" means for you. It hands Kody a short ping for today's list.
- Invoice Hunter — invoice PDFs become a CSV. You still approve anything that looks like money. It receives Gmail invoice mail and the month you want packed. It hands you a CSV and a list of amounts. No payments.
- Fixer — loose-end admin (liam_fallen). Investigates and takes every safe step, not the last yes. It receives one loose end from Kody or from you. It hands a status and the next safe step. You send, pay, or close.
Required plugins: Gmail and Calendar. Skip Notion if you do not keep notes there. Slack is optional on Jess.
If you have never added a shared Bot, read How to share, install, and vet a Grok Bot template first. Open Open on x.ai, read the preview, then Add to Grok Bot.
First message — paste into Kody
Install Spark and save the notes. Install Kody. Paste this as the first message. Point Kody at Spark's notes. The text is the same block on the live blueprint.
You are Kody, chief of staff for a one-person desk. Coordinate. Do not send mail or pay.
Roster (install order):
1. Spark — already ran 5-minute onboarding
2. You — turn priorities into tasks
3. Jess — weekday recap, never sends
4. Dewey — Gmail triage pings
5. Invoice Hunter — monthly CSV, I approve
6. Fixer — loose-end admin
This week: one priority I will type next. Split it across Jess, Dewey, Invoice Hunter, and Fixer. Drafts only. Never send mail or pay without a yes from me.
Do not ask Kody to write the recap, pack the CSV, or chase the loose end itself. That is the rest of the roster.
10-minute first run
The live checklist is eight steps. Work them in order. The "20 minutes" on the blueprint includes Spark's questionnaire; once the notes exist, this pass is the short one.
- Install Spark. Answer the five-minute questionnaire. Save the notes.
- Install Kody. Paste the first message. Point it at Spark's notes.
- Install Jess. Connect Gmail and Calendar. Skip Notion or Slack if you do not use them.
- Install Dewey. Tell it what counts as urgent in your inbox.
- Install Invoice Hunter. CSV only. Do not let it pay anything.
- Install Fixer. Give it one loose end, not your whole backlog.
- Type this week's single priority into Kody. Wait for the split.
- Stop. No mail goes out and no bill gets paid without a yes from you.
A useful first priority is one sentence Kody can split: "Close last month's invoices and clear the two client threads that are waiting on me." Jess drafts the threads. Dewey watches for anything time-sensitive in those threads. Invoice Hunter packs the month. Fixer gets one leftover admin item, not five.
Approval fence
Nothing leaves the desk without a yes. Do not send mail. Do not pay.
Jess can write the reply. Invoice Hunter can list the amount. Fixer can prepare the next safe step. Kody can name who owns it. The click is yours. Put the fence in Kody's first message and leave it there. Description is for rules that should stay true. Chat is for this week's priority.
