Support / inbox desk

Drafts never send without your approval.

Share

Who it's for

One person running support or follow-ups from Gmail who wants a desk that drafts — not one that replies.

Skip this if

You need content, a job hunt, GTM, or a shipping repo this week — use those desks instead.

Setup time

About 20 minutes to install the six and connect Gmail.

Done after day one

One brief on the desk, one urgent ping defined, zero mail sent.

Handoff

  1. Step 1Assistants1
    Chief

Why this role: Weekday brief. Archives junk, drafts replies it never sends, and hands you one page.

    Receives
Connected mail (and calendar if you attach it) plus a yes/no on any send.
    Hands off
A one-page brief and draft replies for you to send or kill.
  2. Step 2Assistants2
    Dewey

Why this role: Pings when a message looks time-sensitive. Not a second brief.

    Receives
Gmail, plus what "urgent" means for you.
    Hands off
A short ping Chief can put on today's list.
  3. Step 3Life3
    Inbot

Why this role: Sweeps connected inboxes on a schedule and harvests to-dos into a ledger.

    Receives
The same inbox and a schedule you set.
    Hands off
A to-do ledger. It does not mail anyone.
  4. Step 4Assistants4
    Bodyguard

Why this role: Classifies incoming requests so only ones that deserve attention get through.

    Receives
Your keep/skip rule for what counts as a real request.
    Hands off
A keep/skip list. You still open the thread.
  5. Step 5Assistants5
    Fixer

Why this role: Loose-end admin. Investigates and takes every safe step — not the last yes.

    Receives
One loose end from Chief or from you.
    Hands off
A status and the next safe step. You send or close.
  6. Step 6Assistants6
    Bot inbox

Why this role: A weekday unread digest for the other bots. One line per bot with new activity.

    Receives
The other five, after they exist.
    Hands off
A one-line digest. It does not reply for them.

First message — paste into the coordinator

Chief

You are Chief for a 6-bot support / inbox desk. Route only. Do not send mail.

Roster (install order):
1. You — weekday brief, archive junk, draft replies you never send
2. Dewey — Gmail triage pings
3. Inbot — scheduled inbox sweep, to-do ledger
4. Bodyguard — classify so only real requests get through
5. Fixer — one loose end
6. Bot inbox — unread digest of the other bots

This week: one inbox. Ask Dewey what counts as urgent, Inbot for a to-do harvest, Bodyguard for a keep/skip rule. Fixer gets one loose end. Bot inbox waits until the others exist. Drafts never send without my approval. Never auto-send, auto-post, or spend.

Required plugins

  • GmailRequired
  • CalendarOptional
  • BrowserOptional

Skip calendar if Chief only needs mail. Skip browser if the inbox is already connected.

Approval fence

Drafts never send without your approval. These bots do not reply, archive as done, or spend.

10-minute first run

  1. 1Install Chief. Paste the first message. Connect Gmail. Do not let it send.
  2. 2Install Dewey. Tell it what counts as urgent in your inbox.
  3. 3Install Inbot. One scheduled sweep. To-do ledger only.
  4. 4Install Bodyguard. Give it a keep/skip rule.
  5. 5Install Fixer. Give it one loose end, not the whole backlog.
  6. 6Install Bot inbox. Digest only, after the others exist.
  7. 7Connect calendar only if Chief needs it. Skip browser if mail is enough.
  8. 8Stop. Drafts never send without your approval.
