Work

Four work bots: inbox, calendar, intel, bot boss

Communication, time, and information — plus a bot that manages the other bots.

What hurt

Josh Kim (@joshkim, growing @bot) posted that Grok Bot changed how he works and linked his X Article “Grok Bot for Work.” The Article names four shareable bots. Inbox Manager hooks to communication tools, stays read-only, and escalates only what is important AND urgent. Calendar EA flags conflicts, sends invites, and learned his quirks: deep-focus windows, cluster meetings/rooms, don’t be late for kid pickup. Intel Scout reads inbox + Slack + meeting notes and reports every day at 8am and 5pm: (1) company events that affect him or the team (2) outstanding follow-ups (3) info needed for upcoming meetings. Bot Boss is the funnel — the other three report into it, and questions route through it to the right bot. We do not invent prompts — open his Article and the four shares.

What to install or create

Four named bots + connectors you already trust. Optional: open his Inbox Manager share first (the other three shares are listed too). Inbox stays read-only. Calendar and intel escalate; you send. Intel Scout hangs at 8am and 5pm. Bot Boss is the single attention funnel. Read https://x.com/joshkim/status/2095633918611636627 and the Article linked there.

Bots

  • Inbox Manager

Hooked to communication tools. Read-only. Escalates only important AND urgent.

  • Calendar EA

Flags conflicts and drafts invites. Remembers deep-focus windows, clustered rooms, and kid pickup. Does not send invites without you.

  • Intel Scout

Every day 8am and 5pm: company events, outstanding follow-ups, and meeting-prep intel from inbox, Slack, and notes.

  • Bot Boss

The other three report here. Questions route through Bot Boss to the right bot.

Plugins

  • Gmail

    Optional

  • Calendar

    Optional

Files

  • Optional: a short note of deep-work windows and hard personal blocks.

Routines

  • Intel Scout every day 8am and 5pm. Inbox triage as needed, not every few minutes.

The prompt

This is a tip, not a pasteable system prompt. The author did not publish one. Follow the first-run steps.

First run

  1. 1Read https://x.com/joshkim/status/2095633918611636627 and open the linked Article “Grok Bot for Work” for author detail.
  2. 2Optional: open his shares — Inbox Manager https://x.ai/bot/Q4Ll-gU_l-lvvpxq-quwr, Calendar EA https://x.ai/bot/xH8WGEVpXPslTULtgnN4r, Intel Scout https://x.ai/bot/TuRdVfJIJ2t0O8-jQm4ah, Bot Boss https://x.ai/bot/i336HYHYVhW2aMQjXhbxF — or create four bots with the jobs above.
  3. 3Connect only the plugins you need (Gmail and calendar are optional). Keep Inbox Manager read-only at first.
  4. 4Hang Intel Scout at 8am and 5pm. Point Bot Boss at the other three as the single place you check. Questions go through Bot Boss.
  5. 5Widen send/invite powers only after the triage feels calm. Calendar EA still waits for your yes before invites leave.

Approval fence

Do not send mail, Slack, invites, or posts without your yes. Inbox Manager stays read-only until you widen it.

What to tweak

Steal the role split and the Bot Boss funnel. Open his Article for author detail — do not invent system prompts.
