School email flood: learn when mail arrives, check only then, flag what matters

Parents get dozens of school emails a month and read only a few.

What hurt

Gabe Hernandez (@GabeHernandezOK) got 63 school emails last month and read 12. His Grok Bot builds a histogram of when they arrive, polls only during those busy windows, and flags what's important. He shared it as a public bot. Not affiliated with xAI.

What to install or create

Let the bot look at past school mail to find the hours it usually lands, schedule checks only in those windows, and surface just the important items. The author's bot deletes the rest; you can start by labeling or archiving instead.

Bots

  • School email bot

Learns when school mail arrives, checks only in those windows, flags what matters.

Plugins

  • Gmail

    Optional

Routines

  • Busy-window check. Only during the hours school mail usually arrives. Scan new school mail and flag the important ones.

The prompt

This is a tip, not a pasteable system prompt. The author did not publish one. Follow the first-run steps.

First run

  1. 1Read https://x.com/GabeHernandezOK/status/2107264490098360468 (credit @GabeHernandezOK).
  2. 2Import the author's bot: https://x.ai/bot/iQ9BMmGzaCUN8M8j6CerX, and connect your email.
  3. 3Ask it to chart when school emails arrived over the last month or two.
  4. 4Schedule checks only in those busy windows, flagging what needs a parent.
  5. 5Keep it on label or archive for a week before allowing any deletes.

Approval fence

Deleting mail can't always be undone. Run in label or archive mode first and switch to delete only after you trust what it flags.

What to tweak

Steal the timing trick: learn when the mail comes, then check only then instead of polling all day.
