Work
One requirements spreadsheet in, a roadmap deck, Gantt chart and proposal out
Every customer project means rebuilding the same roadmap, Gantt and proposal by hand.
What hurt
Paul Richardson (@TechboyUK) spent an evening building a work workflow: he enters a customer's current and target SAP system data into a requirements spreadsheet, and Grok Bot generates the documents. He says it will save days every month and cut human error. Not affiliated with xAI.
What to install or create
From one spreadsheet the bot produces a technical roadmap (PowerPoint and PDF), a project Gantt chart (Excel) and a project proposal (PowerPoint and PDF). He found the bot held the details better than his earlier attempt in another assistant, where small formatting edits made pricing calculations vanish.
Bots
Proposal builder
Turns the requirements sheet into roadmap, Gantt and proposal files.

The prompt
This is a tip, not a pasteable system prompt. The author did not publish one. Follow the first-run steps.
First run
- 1Read https://x.com/TechboyUK/status/2109067001943777369 (credit @TechboyUK).
- 2Make one requirements spreadsheet with current-state and target-state columns.
- 3Give the bot one past roadmap, Gantt and proposal as the style to match.
- 4Ask for all three outputs from one filled sheet, then check pricing and dates line by line.
- 5Once a run comes out right, ask the bot to save it as a skill so the next customer is one message.
Approval fence
Customer-facing documents are drafts until you check the numbers and send them yourself.
What to tweak
Fix the input (one spreadsheet), and the deliverables become a repeatable job instead of a weekly rebuild.
