Work

Keep project memory outside the bot, and make it read and update it every time

Long projects drift because the bot's own memory gets buried under newer chats.

What hurt

Lowell Heddings (@LowellHeddings) says you need a project memory outside Grok Bot — in Notion, Dropbox, or wherever — and rules that make the bot always reference it and update it. It's dramatically better, he says, though still not perfect. Not affiliated with xAI.

What to install or create

Put the project's agent rules and running memory in one external doc. Add a Grok Bot rule: before working on this project, read the agent rules in that project memory; after finishing, update the memory.

Bots

  • No new bot. Follow the first-run steps.

Plugins

  • Notion

    Optional

Files

  • One project memory doc (Notion, Dropbox, or similar) holding the agent rules and running notes.

Routines

  • None on the first run. Watch one manual pass first.

The prompt

This is a tip, not a pasteable system prompt. The author did not publish one. Follow the first-run steps.

First run

  1. 1Read https://x.com/LowellHeddings/status/2107481169583378934 (credit @LowellHeddings).
  2. 2Create one project memory doc in Notion, Dropbox, or wherever you already work.
  3. 3Write the project's agent rules at the top of it.
  4. 4Add a Grok Bot rule: always read this project memory before working on the project, and update it when you finish.
  5. 5After a few tasks, open the doc and check the bot is keeping it current.

Approval fence

The bot will be writing to that doc. Share only the project memory with it, not your whole workspace.

What to tweak

Memory you can open and edit beats memory you hope the bot still has.
