Move a bot team to a new account with a Notion rebuild kit, not a backup

Your company's bot team lives on your personal account, and there's no transfer button.

What hurt

Sebastien (@sebastiendeprez) runs a chief of staff, sales, CFO, ops, DevOps and social bot at Qweriu. To move them to a company account, he asked what a brand-new bot would need to become the same colleague. Not affiliated with xAI.

What to install or create

Everything lives in Notion: a roster, a playbook page per bot (rebuild prompt, durable memories, standing rules, open loops), a skills database word for word, a routines database with exact schedules and prompts, a decisions log (old rules marked superseded, never deleted) and a runbook. Every Monday the Chief of Staff has each bot refresh its own page. On the new account, one bot reads the runbook and rebuilds the team one by one.

Bots

  • Chief of Staff (Max)

Keeps the rebuild kit fresh and rebuilds the team from the runbook.

Plugins

  • Notion

    Required

Routines

  • Kit refresh. Mondays; memory digest first Monday of the month. Ask every bot to refresh its own playbook page.

The prompt

This is a tip, not a pasteable system prompt. The author did not publish one. Follow the first-run steps.

First run

  1. 1Read https://x.com/sebastiendeprez/status/2108546249565577526 (credit @sebastiendeprez).
  2. 2Create a Notion roster plus one playbook page per bot: rebuild prompt, memories, standing rules, open loops.
  3. 3Add databases for skills (word for word) and routines (exact schedule + full prompt), a decisions log and a runbook.
  4. 4Have your chief-of-staff bot ask every bot to refresh its page each Monday.
  5. 5When you move: create one bot, connect Notion, have it follow the runbook; you do the sign-ins and keep the old team paused.

Approval fence

No secrets in Notion: playbooks only say which access a bot needs, and he re-enters keys and does the sign-ins himself. The old team stays paused, not deleted, until the new one proves itself.

What to tweak

Chat history matters far less than rules, memories and open loops. Write them down while you still have them.
