Work

A Notion kanban where dragging a card to “Ready for Emma” starts the work

Ideas pile up in your head and chats, and handing each one to the right bot takes effort.

What hurt

Melvin Vivas (@melvindvivas) connected Notion and had Emma, his chief-of-staff bot, build a shared kanban board. He dumps ideas there and drags a card when he wants it started. Not affiliated with xAI.

What to install or create

The board has a “Ready for Emma” column. Emma checks it every 15 minutes, picks up ready cards, delegates each to a specialist bot, and writes status and results back to the card.

Bots

  • Emma (chief of staff)

Watches the board, delegates ready cards, and updates status.

Plugins

  • Notion

    Optional

Files

  • Notion kanban: ideas, Ready for Emma, in progress, done.

Routines

  • Board check. Every 15 minutes (author's setup). Pick up cards in Ready, delegate them, and write results back.

The prompt

This is a tip, not a pasteable system prompt. The author did not publish one. Follow the first-run steps.

First run

  1. 1Read https://x.com/melvindvivas/status/2107680968270381222 (credit @melvindvivas).
  2. 2Connect Notion to your main or chief-of-staff bot.
  3. 3Ask it to build a kanban board for the two of you with a “Ready for <bot name>” column.
  4. 4Add a routine to check that column on a schedule (he uses 15 minutes; slower is cheaper).
  5. 5Drop ideas in freely; drag a card only when you want it started, and read results on the card.

Approval fence

No send, spend, or publish step here. Keep your usual ask-first rules on.

What to tweak

Make “start” a drag, and keep results on the card.
