Work
Running 50 bots without them undoing each other: front doors, quiet routines, one home per fact
Bots revert each other's work, specialists spam your phone, and new messages wipe drafts in progress.
What hurt
Paul (@PaulShipsAI) runs about 50 bots across several businesses and wrote up the rules he added after one bot reverted another's fix and he kept typing over his own drafts. Not affiliated with xAI.
What to install or create
Each project gets one Chief of Staff you talk to, with a Meta Boss above for cross-project items. Specialists stop copying you on every result. A new message becomes the job, so he wrote his own queue/steer/park conventions into the description (not built-in features) and sends long work to a background bot he never types into. Routines store a fingerprint of what they saw and say nothing if nothing changed. A skill is one file; memory only points at it; live numbers are reopened, never stored.

The prompt
This is a tip, not a pasteable system prompt. The author did not publish one. Follow the first-run steps.
First run
- 1Read https://x.com/PaulShipsAI/status/2108268338325700807 (credit @PaulShipsAI).
- 2Give each project exactly one front-door bot and tell specialists to report only what needs you.
- 3Agree on how you'll queue a new idea instead of typing over a running job, and write that into the description.
- 4Make each routine store what it saw last time and stay silent when nothing changed.
- 5Keep each skill in one file; memory stores the path, and live numbers are reopened before acting.
Approval fence
Shared memory rules are written only by a Chief of Staff or the Meta Boss after he approves. Sign-ins happen on the computer the bot hands you, never as a password in chat.
What to tweak
If two saved lines disagree, the bot stops, names the source that wins, and doesn't blend them.
