Work
A decision log that records why you overrode the bot, so the next recommendation is better
When you overrule the bot, it learns what you decided but not why.
What hurt
Michael (@Michael_Fenech_) shared a prompt for a decision-learning system: every time you approve, reject or change a recommendation, the bot captures the situation, its suggestion, your decision and your reasoning. Not affiliated with xAI.
What to install or create
Example: the bot recommends declining an out-of-policy refund; you approve it because the customer has spent $15,000. The log keeps the why, and the bot retrieves similar past decisions before its next recommendation, while keeping policies separate from one-off exceptions.
Bots
No new bot. Follow the first-run steps.
Plugins
Notion

Routines
None on the first run. Watch one manual pass first.
The prompt
Decision-learning system (author-quoted)
Quoted from @Michael_Fenech_ — as published. Do not invent a second system prompt.
I want you to build a decision-learning system for the business decisions you help me make. Whenever you recommend an action and I approve, reject or modify it, capture: 1 - The situation and relevant facts. 2 - Your original recommendation. 3 - My final decision. 4 - What I changed. 5 - Why I made that decision. If my reasoning is unclear, ask me one short question. Store these decisions in a structured log that you can reference in the future. When a similar situation arises, retrieve relevant past decisions and explain how they apply before making your recommendation. Keep business policies separate from individual exceptions. Never assume one exception becomes a permanent rule. Start by helping me set up the decision log and choosing one business workflow to test.
First run
- 1Read https://x.com/Michael_Fenech_/status/2108870909318791377 (credit @Michael_Fenech_).
- 2Connect a persistent store (for example a Notion database) for the log.
- 3Paste the prompt and pick one workflow to start with (support, suppliers or sales).
- 4When you override the bot, answer its one short question about why.
- 5Review the log monthly and remove outdated or wrong entries.
Approval fence
Keep human approval in place for consequential decisions; the log informs the bot, it doesn't decide.
What to tweak
Capture the reasoning, not just yes or no, and never let one exception become a rule by itself.
